An app for coworking spaces: door, meeting room and payment on one phone.
A coworking member does the same things every day: enters the building, looks for a free meeting room, invites a guest, and renews the plan once a month. An app does it without the front desk: QR access, room booking in two taps, a guest pass and Kaspi payment.
Not every space needs a coworking app. A single space with 50–80 desks is fine with a website, a member portal and WhatsApp. An app pays off with 150–200+ members, several locations, or a business centre with dozens of tenant companies: that is when the front desk can no longer keep up with passes, bookings and payment questions.
The main feature is access. A member opens the door or turnstile with a QR code or via Bluetooth, a guest gets a one-time pass by link, and access is restricted automatically when a plan expires. This requires integration with the access control system — we check it first.
The second is self-service: booking meeting rooms and desks on a floor map, buying hours and day passes, renewing the plan via Kaspi, invoices for companies, an events calendar and push notifications. We build natively in Swift and Kotlin or with Flutter — the choice depends on budget and requirements for working with locks.
What a coworking app needs.
Entry to the building, floor and office from the phone; rights depend on the plan and time of day. Expired plan — access restricted without the admin.
A floor map with free desks and rooms, booking for the needed slot, a reminder 15 minutes before and one-tap cancellation.
Kaspi Pay for individuals, invoices to LLPs for companies, renewal reminders and payment history.
A member sends a guest a link with a QR code for a specific time; the front desk sees the day’s guest list.
Requests for printing, repairs, cleaning, mail and parcel storage, ordering coffee from the partner bar.
An events calendar with registration, a member directory with consent, a news feed of the space.
Renewal, a meeting room freed up, a guest arrived, a parcel at the front desk, new events — without SMS.
A team lead manages employees, sees meeting room hour usage and downloads invoices and acts.
App screens.

- Home: QR access, next booking, hours balance
- Floor map and desk booking
- Meeting rooms: calendar and booking

When an app makes sense for a coworking space.
We look at three indicators. First, front-desk load: if an admin spends half a shift on passes, bookings and payment questions, an app replaces part of that role. Second, retention: a member who renews in two taps and gets a reminder in advance leaves less often. Third, extra revenue: hourly meeting rooms, day passes and paid events sell in the app without a manager.
With fewer than a hundred members, these effects are cheaper to get with a website portal and a CRM. We start with the numbers, not with screen design.
Access is the hardest part.
A door can only be opened from a phone through the access control system installed in the building. If it has an API or a cloud dashboard, integration takes 1–3 weeks. If the controllers are old and have no API, the options are a QR code on a front-desk or turnstile reader, replacing the controllers, or Bluetooth access via separate readers.
In a business centre, access is often controlled by the building’s management company rather than the coworking operator. Then we agree the scheme with them in advance: without it, the app is just a booking tool missing its main feature.
What affects the price of the app.
An iOS and Android app with access, booking, Kaspi payments and push notifications — from ₸2,500,000, from 8 weeks. A PWA without lock integration — from ₸1,200,000. The price depends on the number of screens and flows, native or Flutter, access control integration, the backend or existing management software, the company account and offline mode for QR.
General terms are on the mobile apps page.
The short version.
How much does an app for a coworking space cost?
A native iOS and Android app with access, booking and payments — from ₸2,500,000. A PWA without lock integration — from ₸1,200,000. The exact price depends on the access control system and backend.
Can the app open doors?
Yes, if the building’s access control system supports an API, QR readers or Bluetooth. We check this at the first meeting — it determines about a third of the scope.
Native or Flutter?
For Bluetooth access and reliable background operation we usually choose native Swift and Kotlin. If access is by QR and the focus is bookings and payments, Flutter gives one codebase and a smaller budget.
How is the app connected to the CRM and accounting?
Plans, payments and bookings go through a shared backend into the CRM or coworking software, company invoices into 1C. No manual data transfer.
How long does development take?
The first version with access, booking and payments — from 8 weeks, plus 1–2 weeks for App Store and Google Play publication. Services and events come in later releases.
