CRM for dental clinics: no lead is lost, no-shows cut in half.
A receptionist handles Instagram, WhatsApp, and phone calls simultaneously — and some patients fall through the cracks. CRM collects all inquiries into one funnel, automatically sends appointment reminders, and invites patients back for a check-up six months later. Management sees how many inquiries turned into visits and where they came from.
A clinic runs two types of records: medical — patient files and schedules in the HIS — and commercial — who inquired, who was called back, who booked, who showed up, who returned. The commercial side usually doesn't exist; it lives in the receptionist's head. So no one knows how many leads from ads became patients or why half of those who booked never came.
CRM for dental clinics closes the commercial gap: all channels in one funnel, stages from inquiry to repeat visit, automatic WhatsApp messages, and tasks for the receptionist. It syncs with the HIS schedule so there's no duplicate calendar.
The fastest result is reminders: booking confirmation immediately, a reminder 24 hours before and again two hours before with a 'reschedule' button. Clinics report a 1.5–2× reduction in no-shows within the first month.
What we configure in the clinic's CRM.
Inquiry → consultation → treatment plan → payment → treatment. Tasks for the receptionist and message templates at each stage.
Instagram Direct, WhatsApp, calls, website forms, ad leads — in a single feed tagged with source and ad campaign.
Booking confirmation, reminder 24 hours before and 2 hours before, reschedule button, post-visit message with doctor's recommendations.
Automatic invitations for hygiene in 6 months, the next implant or orthodontic stage, a children's check-up, and reactivation of patients not seen in a year.
A booking from CRM goes into the doctor's schedule; a visit from the HIS closes the deal stage. One calendar, not two.
After a visit — a rating request; satisfied patients are directed to 2GIS and Google, dissatisfied ones go to management before it becomes public.
Tracking numbers per ad campaign, call recording, inquiry-to-visit conversion by channel, revenue by source.
Number of inquiries, bookings, visits, average bill, repeat visits, doctor utilization — a daily dashboard.
Funnels and automations.
- Funnel 'New patients': inquiry → consultation → plan → payment → treatment

- Funnel 'Reactivation': not seen in 12 months
- Appointment reminder automation
- Post-visit NPS and review automation
- Receptionist task if no reply within 15 minutes
- Lead distribution across branches
- End-to-end ad analytics
How implementation works at a clinic.
- Audit — 2–3 days: we listen to calls, review chats, and quantify current losses. We deliver a funnel diagram and estimate.
- Setup — 1–2 weeks: funnels, fields, WhatsApp templates, channel and telephony connections.
- HIS and website — 1–2 weeks: schedule sync, website forms, ad lead routing.
- Training — receptionists and management, instructions and videos, first week hands-on together.
- Support — one month of adjustments based on real usage, then ongoing support on request.
Why CRM doesn't stick in clinics.
- Set up 'out of the box' without clinic-specific funnels — receptionists went back to the paper log.
- No required fields (source, service) — analytics is empty.
- Reminders sent manually — meaning they aren't sent at all.
- CRM and HIS not connected — double entry, receptionist picks one.
- Management doesn't check the dashboard — the team stops filling it in. We build a dashboard worth opening.
What affects the implementation price.
Basic amoCRM or Bitrix24 implementation for one clinic: funnels, channels, WhatsApp reminders, training — ₸350,000–₸600,000, 2–3 weeks. With HIS sync, telephony, call tracking, and end-to-end analytics — ₸600,000–₸1,000,000, 4–5 weeks. Multi-branch network — priced by number of branches and roles. CRM and WhatsApp API licenses are paid to vendors separately.

The short version.
How much does CRM for a dental clinic cost?
Basic implementation with funnels, channels, and WhatsApp reminders — ₸350,000–₸600,000. With HIS, telephony, and analytics — ₸600,000–₸1,000,000. amoCRM or Bitrix24 licenses are separate, from a few thousand tenge per user per month.
Which CRM should a clinic choose?
For a single clinic taking bookings via Instagram and WhatsApp — amoCRM: simpler, faster, strong chat integrations. For a network with tasks, documents, and approvals — Bitrix24. We decide after the audit.
Can CRM be connected to our HIS?
Yes, if the HIS has an API (Medesk, iDent, Клиника Онлайн, and others). Bookings from CRM go into the schedule; visits from the HIS close deals. Without an API, we set up a single-window workflow for the receptionist.
Is it legal to send reminders via WhatsApp?
Yes, via the official WhatsApp Business API with patient consent for notifications (included in the service agreement and booking form). Message templates go through Meta moderation — we handle that.
How soon will there be results?
Reminders and a unified funnel work from the first week: fewer no-shows, no lost leads. Check-up re-engagement and reactivation produce results in 2–3 months as the patient base builds up.
