CRM for barbershops: every client booked for the next haircut, every barber in numbers.
A barbershop almost always has a booking log but no retention system: nobody sees who didn't come back after a month and which barber is losing clients. We set up the booking system, automatic WhatsApp messages and per-barber reports, and for chains and franchises — a CRM for leads and partners.
In a barbershop, booking and CRM are often one system. YClients, Altegio or Dikidi keep barbers' schedules, client cards, the till and pay as a percentage of revenue. The problem is usually not the lack of software but that it's set up as an electronic logbook: messages don't go out, segments aren't built, nobody opens retention reports.
We start with what you already have: appointment reminders, an invitation to the next haircut after 3–4 weeks, win-back for those who haven't come in 6–8 weeks, collecting reviews on 2GIS. We connect Instagram and WhatsApp so requests don't get lost in barbers' personal phones.
We add amoCRM or Bitrix24 where the booking log can't cope: corporate service requests, selling gift cards to companies, a franchise pipeline with negotiations and documents. For a large chain, a custom system on Next.js and PostgreSQL on top of the booking API is possible.
What we set up for a barbershop.
A widget in Instagram, 2GIS, the website and Google Maps, WhatsApp answered by the front desk from one window — without barbers' personal phones.
Booking confirmation, a reminder the day before and 2 hours ahead, a reschedule button; on cancellation the slot immediately opens to others.
3–4 weeks after the visit — a message with booking to the same barber; the interval adapts to the client.
Segments «no visit for 6 weeks», «no visit for 3 months», «came once»; different messages and offers, tracking who came back.
Revenue, average ticket, utilisation, share of returning and new clients — the basis for motivation and pay.
Tracking sales and redemption, balances, a reminder about an expiring gift card, payment via Kaspi Pay.
After the visit — a barber rating; satisfied clients are asked to review on 2GIS, unhappy ones are passed to the manager.
A request from a future partner → call → presentation → meeting → contract; tasks, documents and lead source in amoCRM or Bitrix24.
Scenarios and automations.
- Booking: confirmation → reminder a day before → reminder 2 hours before
- Retention: invitation to a haircut after 3–4 weeks
- Win-back: no visit for 6 weeks / 3 months / one visit only
- Post-visit review and routing of negative feedback
- Slot freed up: message to clients on the waiting list
- Gift cards: sale, redemption, expiry reminder
- Report by barber and location
- Franchise and corporate client pipeline
- End-to-end ad analytics
When a booking system is enough and when you need a CRM.
One location or a small chain — a properly configured YClients, Altegio or Dikidi is enough: booking, reminders, segments, per-barber reports, the till. Implementation and automation setup — ₸350,000–600,000, 2–3 weeks.
A chain with a franchise or corporate clients — we add amoCRM or Bitrix24 to the booking system for deals that aren't bookings: franchise sales, contracts with companies to serve their employees, large gift card orders. With integrations and analytics — ₸600,000–1,000,000.
A custom system — from ₸1,500,000, when a franchise has dozens of locations and needs unified rules, reports for the management company and royalties by location.
Why retention doesn't work in barbershops.
- Barbers message clients from their personal WhatsApp — the base leaves with the barber.
- Clients are booked without a phone number or as «Azamat beard» — segments and reminders don't work.
- The next-haircut reminder is sent manually when the front desk has time, which means never.
- The barber report shows only revenue, without the share of returning clients.
- One message to everyone once a month — clients unsubscribe and mark the number as spam.
- No waiting list — a slot freed up on Saturday stays empty.
What affects the price of implementation.
Setting up the booking system and automations for one location or a small chain: reminders, haircut invitations, win-back, reports, training — ₸350,000–600,000, 2–3 weeks. With amoCRM or Bitrix24, telephony, a franchise pipeline and end-to-end analytics — ₸600,000–1,000,000, 4–6 weeks. A custom franchise system — from ₸1,500,000.
Booking system, CRM and WhatsApp API licences are paid to vendors separately. Base prices are on the CRM and automation page.
The short version.
How much does barbershop automation cost?
Setting up the booking system with reminders, retention and reports — ₸350,000–600,000. With a CRM, telephony and a franchise pipeline — ₸600,000–1,000,000. System licences are separate.
We have YClients, but nobody uses it fully. Can you help?
Yes, it's the most common case. We audit current settings, switch on automatic messages, build segments, set up per-barber reports and train the front desk.
How do we keep clients when a barber leaves?
All messaging and booking go through the barbershop's system, not the barber's personal phone. When a barber leaves, his clients receive an invitation to a colleague with a similar specialty.
Is it legal to message clients on WhatsApp?
Yes, via the official WhatsApp Business API and with the client's consent to messages, collected at booking. Message templates go through Meta review; we help prepare them.
When will we see the effect?
Appointment reminders work from the first week. Next-haircut invitations and win-back show results in 1–2 months, after the first visit cycle.
