CRM for taxi fleets: hiring, rent, fines and payouts in one system.
Three processes run in a fleet at once: onboarding new drivers, tracking cars and money, and working with corporate clients. We set up a CRM where every driver has a card with the contract, car and balance, and fines, maintenance and payouts are calculated by rules rather than by hand.
A typical taxi fleet lives in three places: driver applications in a manager's WhatsApp, cars and rent in the mechanic's Excel, payouts in the Kaspi statement and the aggregator's dashboard. Every Monday someone brings it together by hand, and every mistake turns into a dispute with a driver.
A CRM for a taxi fleet connects these flows. The hiring funnel takes a candidate from application to first shift with tasks for the manager. The car card stores the licence plate, driver, mileage, maintenance and OGPO deadlines. The driver balance is built from aggregator revenue, rent, commission, fines and payouts — with a history of every transaction.
For small fleets, amoCRM or Bitrix24 with customisation works well. A fleet with 100+ cars or with rent-to-own and car-sharing is usually better served by a custom system on Next.js and PostgreSQL: the credit rules are more complex than an off-the-shelf box can handle.
What we set up in a fleet CRM.
Application → call → interview → document check → contract → car handover → first week. Tasks and WhatsApp templates at every stage, rejections with a reason.
Car card: licence plate, VIN, class, driver, mileage, status «on the line / in repair / free», maintenance, OGPO and inspection deadlines with reminders.
Daily rent charges by tariff, deposits, rent-to-own schedules, overdue payments and automatic notifications to the driver.
Aggregator revenue minus commission, rent and deductions; payout requests, a Kaspi payout register, reconciliation of receipts.
Notices loaded by licence plate, linked to the driver by shift time, added to the balance, with notification and payment tracking.
WhatsApp, Telegram, Instagram, calls and website forms — tagged by source and ad campaign to calculate the cost per driver.
B2B funnel: request → proposal → contract → rides; monthly acts and export to 1C for e-invoices (ESF).
Cars on the line and idle, new drivers and churn, payouts, debts, fines, revenue by class — a daily dashboard.
Funnels and automations.
- «Hiring» funnel: application → interview → documents → contract → handover → first week
- «Driver win-back» funnel: left within the last 3 months
- «Corporate clients» funnel: request → proposal → contract → service
- Daily rent and rent-to-own charges
- Import of shifts and revenue from the aggregator
- Loading and assigning fines
- Maintenance, OGPO and inspection reminders
- Payout register and Kaspi reconciliation
- Task for the manager when «application unanswered for 10 minutes»
- End-to-end analytics: cost per onboarded driver by channel
amoCRM, Bitrix24 or a custom system.
amoCRM covers the hiring funnel and communication with drivers in WhatsApp and Telegram well, but car tracking, daily rent and balances have to be built with customisations.
Bitrix24 is more convenient when you need tasks for mechanics, documents, approvals and B2B deals with corporate clients; smart processes let you set up cars and contracts as separate entities.
A custom CRM on Next.js and PostgreSQL fits a fleet with 100+ cars, rent-to-own, several tariffs and complex deduction rules. Credits are calculated exactly per contract, aggregator and GPS data are pulled directly, and the driver account is built on the same database. It starts from ₸1,500,000 but needs no monthly per-user licences.
Why fleet accounting drifts back to Excel.
- Credit rules are not written down: each manager calculates fines and deposits differently, and the system cannot repeat it.
- Aggregator revenue is entered by hand — within a month data entry is a week behind.
- No car statuses — downtime is invisible until someone looks at the parking lot.
- Fines are not linked to shift time — deductions get disputed.
- The driver cannot see their balance — they keep calling, and managers go back to manual answers. We give drivers a bot or an account with the same figure as in the CRM.
What affects the implementation price.
Basic amoCRM or Bitrix24 implementation for a fleet: hiring funnel, channels, WhatsApp templates, car tracking, training — ₸350,000–600,000, 2–3 weeks. With rent and balance tracking, aggregator import, fines, Kaspi reconciliation and 1C export — ₸600,000–1,000,000, 4–6 weeks. A custom CRM with a driver account starts from ₸1,500,000.
CRM and WhatsApp API licences are paid to vendors separately. Base prices and options are on the CRM and automation page.
The short version.
How much does a CRM for a taxi fleet cost?
Basic implementation with a hiring funnel and car tracking is ₸350,000–600,000. With driver balances, fines, the aggregator and 1C — ₸600,000–1,000,000. A custom system starts from ₸1,500,000.
Can the driver balance be calculated automatically?
Yes: revenue comes from the aggregator via API or exports, rent is charged daily by tariff, fines and deductions follow the contract rules. The manager only checks exceptions.
What about camera fines?
Notices are loaded by the fleet's licence plates, the system finds who was driving by shift time and adds the fine to their balance with a notification. The deduction procedure must be set out in the rental agreement.
Does the CRM work for corporate taxi?
Yes, we run a separate B2B funnel and track rides per contract; monthly acts are exported to 1C, where e-invoices are issued.
When will we see the effect?
The hiring funnel and unified channels work from the first week: applications are not lost and you see where candidates drop off. Balance and fine tracking pay off after the first full month, when reconciliation matches without manual work.
