CRM for accounting firms: every deadline and document for every client under control.
Each client has its own regime, forms, deadlines and set of documents due by the fifth. A CRM turns this into a task calendar across all clients, reminds clients about documents on its own and shows the manager where a deadline is burning and which client has outgrown their plan.
In an accounting firm a CRM is needed less for sales than for production. The client's books live in 1C, but the firm's work with the client lives in Excel, messengers and the chief accountant's memory: which forms are due this quarter, whose statements are missing, who signed with the EDS, who owes the monthly fee. With twenty clients this rests on people; with a hundred, late filings and penalties begin.
A CRM for outsourced accounting runs two loops. Sales: request, consultation, plan quote, contract and onboarding with access and EDS. Service: a client card with regime, VAT, headcount and plan, recurring tasks by the tax calendar, document collection and payment control.
The fastest effect is automatic document collection: at the start of the month the client gets a WhatsApp message listing what to send, and the accountant sees who is missing what. The second is plan revision: the CRM shows clients whose workload has long exceeded what they pay for.
What we set up in an accounting firm's CRM.
Legal form, tax regime, VAT, employees, plan, responsible accountant, access and EDS expiry date — all in one place.
The set of forms and deadlines is matched to the client's regime; recurring tasks are created for each period automatically.
Automatic requests for statements and source documents in WhatsApp on schedule, receipt marks, repeat reminders, escalation to the accountant.
Request → consultation → plan quote → contract → onboarding: access, EDS, 1C database transfer; the source of every request.
Tracking actual transactions and employees, a signal to the manager when volume exceeds the plan — the basis for a price revision.
Kaspi Pay invoices for the monthly fee, overdue reminders, a debtor summary and suspension of work by the rules.
How many clients and tasks each one has, overdue tasks, cover during leave without losing context.
New clients and churn, revenue by plan, missed deadlines, request conversion by source — a daily dashboard.
Funnels and automations.
- «Sales» funnel: request → consultation → plan → contract
- «Onboarding» funnel: access, EDS, books transfer, first period
- Recurring tasks by the tax calendar for each client
- Automatic document request at the start of the month
- Client EDS expiry control
- Signal when volume exceeds the plan
- Retainer invoices and overdue reminders
- «One-off services» funnel: bookkeeping recovery, liquidation, registration
- End-to-end ad analytics
Which CRM suits an accounting firm.
Bitrix24 usually suits outsourcers better: strong recurring tasks, projects per client, documents, roles and permissions, time tracking. It is convenient for building a tax calendar and controlling accountant workload.
amoCRM is simpler and stronger in sales and messengers: if the main goal is not to lose requests from WhatsApp, Instagram and the website and to quote plans quickly, while production is already in order, it is enough.
A custom CRM on Next.js and PostgreSQL — from ₸1,500,000 — makes sense for a large outsourcer with hundreds of clients, its own procedures and a client portal, when off-the-shelf systems require workarounds. We decide after a process audit.
Why CRM doesn't take root in accounting firms.
- It was implemented as a sales CRM — with a deal funnel but no deadline tasks; accountants keep living in Excel.
- Tax calendar tasks are created manually — which means in a month they aren't created at all.
- The card has no regime or VAT field — the system cannot match forms and deadlines.
- Documents still go to employees' personal WhatsApp accounts instead of a shared number.
- The manager doesn't look at the overdue report — the team stops closing tasks in the system.
That is why we start with the production loop — the card, calendar and document collection — and add the sales funnel as the second step.
What affects the implementation price.
Basic Bitrix24 or amoCRM implementation: sales and onboarding funnels, client card, tax calendar, WhatsApp, training — ₸350,000–₸600,000, 2–4 weeks. With 1C integration, telephony, Kaspi invoices and end-to-end analytics — ₸600,000–₸1,000,000, 4–6 weeks. A custom CRM with a client portal — from ₸1,500,000. CRM and WhatsApp API licenses are paid to vendors separately.

The short version.
How much does a CRM for an accounting firm cost?
Basic implementation with a tax calendar, document collection and WhatsApp — ₸350,000–₸600,000. With 1C, telephony and analytics — ₸600,000–₸1,000,000. Bitrix24 or amoCRM licenses are separate.
Can the CRM be connected to 1C?
Yes: you can pass the client list, transaction and employee volumes per period, invoices and payments. The data set depends on the 1C configuration and where each database is kept — we determine it during the audit.
Does the CRM file returns with the tax authority?
No. Returns are filed from 1C and the taxpayer cabinet with the EDS, as now. The CRM tracks deadlines, statuses and documents and keeps tasks from getting lost.
Is it legal to message clients in WhatsApp from the CRM?
Yes, through the official WhatsApp Business API with the client's consent written into the contract. Message templates go through Meta review — we help prepare them.
When will we see the effect?
Document collection and the tax calendar work from the first period after launch: fewer manual reminders and missed deadlines. Plan revisions and churn analytics pay off in 2–3 months, once data accumulates.
