A CRM for education centres: trial lessons are not lost and renewals happen on their own.

A trial lesson request came in on Instagram — and vanished in the chat. A student finished the course — and nobody offered the next module. A CRM records every enquiry, guides the student from first contact to renewal and shows how many students are lost at each step.

WhatsApp: reminder sent

An education centre has three critical leak points: between the enquiry and the trial lesson, between the trial lesson and payment, and between the end of the course and renewal. At each one the centre loses real money — not because the product is bad, but because nobody sent a reminder, called or issued an invoice on time.

A CRM for an education centre closes these three points: the funnel records every enquiry and shows where it got stuck; automatic WhatsApp messages remind people about the trial lesson and send a payment link; a renewal task is created automatically a week before the course ends.

On top of that, the CRM gives management what Excel cannot: where students come from, which channel brings the cheapest booking, which teacher retains students best, and which programmes are growing and which are losing students.

What it needs

What we set up in an education centre's CRM.

Trial lesson funnel

Enquiry → trial booking → reminder → trial lesson → payment offer → payment. At each stage there is an automatic action or a task for the administrator.

All channels in one window

Instagram Direct, WhatsApp, calls, website forms, ad leads — in one feed tagged by source. The administrator does not switch between tabs.

WhatsApp reminders

Instant trial booking confirmation, reminders a day and an hour before, a payment link after the trial, a renewal reminder 7 days before the course ends.

Group management

Students by group, attendance, payment status, course end date — on one screen. A task for the administrator after the first missed class.

Renewals and upsells

An automatic renewal task 7–10 days before the end of the course, an offer of the next level or a related programme, re-engaging former students after 2 months.

Collecting reviews

After the course ends — a rating request via WhatsApp; satisfied students are sent to 2GIS and Google, dissatisfied ones go to management for follow-up.

Channel analytics

Conversion by source (Instagram, Google, 2GIS, referrals), student acquisition cost, LTV by programme.

Management report

How many enquiries, trial lessons and payments, average order value, attendance by group, renewals — a daily dashboard without Excel.

Pipelines & automations

Funnels and automations.

  • “Trial lesson” funnel: enquiry → booking → reminder → lesson → payment
  • “Active students” funnel: group, attendance, payment, renewal
  • “Renewal” funnel: notice 7 days ahead, offer, payment
  • “Re-engagement” funnel: did not renew 2 months ago
  • Automated trial lesson reminders
  • Automated payment link after the trial
  • Task for the administrator when a class is missed
  • End-to-end analytics by ad channel

Implementation

How implementation works at an education centre.

  1. Audit — 2–3 days: we review current chats, calculate losses on trial lessons and renewals, and map the funnels.
  2. Setup — 1–2 weeks: funnels, fields, WhatsApp message templates, connecting Instagram and the website.
  3. Groups and payments — 3–5 days: student cards, payment statuses, renewal tasks.
  4. Training — administrators and management, video guides, the first week working side by side.
  5. Follow-up — a month of adjustments based on real work, then support on request.
Common mistakes

Why CRMs fail to take hold in education centres.

  • A standard sales funnel was set up without the “trial lesson → payment” cycle — administrators went back to WhatsApp.
  • No required fields (programme, source, group) — the analytics are empty and it is unclear what works.
  • Reminders are configured, but the templates were not approved in the WhatsApp Business API — the messages are not sent.
  • The CRM and 1Study are not connected — data is entered twice and the team picks one.
  • Management does not look at the dashboard — the team stops filling it in. We set up a report people open every morning.
Price and timeline

What affects the price of implementation.

A basic amoCRM or Bitrix24 implementation for one centre — trial lesson and renewal funnels, channels, WhatsApp reminders, training — costs ₸350,000–550,000, 2–3 weeks. With group management, 1Study integration, telephony and end-to-end analytics — ₸250,000–1,000,000, 4–5 weeks. For a network of branches we price by the number of centres and roles. CRM and WhatsApp Business API licences are paid to the vendors separately.

Base prices and options are on the CRM and automation page.

Questions

The short version.

How much does a CRM for an education centre cost?

A basic implementation with funnels, channels and WhatsApp reminders costs ₸350,000–550,000. With groups, 1Study and analytics — ₸550,000–1,000,000. amoCRM or Bitrix24 licences are separate.

Which CRM should we choose — amoCRM or Bitrix24?

For a single centre whose main flow comes through Instagram and WhatsApp — amoCRM: simpler, faster, with strong chat integrations. For a network with tasks, documents and several roles — Bitrix24. We decide after auditing your processes.

Can the CRM be connected to 1Study?

Yes: a student from the CRM is added to 1Study upon payment, and the payment status from 1Study updates the card in the CRM. No double entry.

Is it legal to send reminders via WhatsApp?

Yes, through the official WhatsApp Business API with consent to notifications (we include it in the booking form). Message templates go through Meta review — we help prepare and get them approved.

When will we see the effect?

Trial lesson reminders and a single funnel work from the first week: fewer lost enquiries and no-shows. Renewals and re-engagement show results in 1–2 months, once the base builds up.
