CRM for building-materials stores: every quote reaches an invoice, trade clients stay with you.

Materials lists arrive on WhatsApp, calls go to salespeople's personal phones, and trade terms are known only to one senior manager. A CRM gathers all inquiries into one pipeline, pulls prices, stock and debts from 1C, and reminds you whom to offer the next construction stage.

WhatsApp: reminder sent

In a building-materials store a sale often starts with a photo of a handwritten list: 12 pallets of aerated block, 40 bags of adhesive, 12 mm rebar, delivery to Kaskelen. The manager re-prices it, checks stock, works out delivery and sends the total. If they are busy at the till at that moment, the client buys within the hour from whoever replied first. Excel or a phone will not tell you how many such requests came in and how many turned into payment.

A CRM for a building-materials store makes this path manageable: an inquiry from any channel, quote, invoice, payment, delivery — with tasks and deadlines at each stage. For trade clients the card shows their price column, credit limit, current debt from 1C and order history by project.

A separate value is repeat sales. Construction goes in stages: after the foundation come walls, after the roof come insulation and finishing. The CRM reminds the manager to call the client at the right moment, not after they have already bought next door.

What it needs

What we set up in a store CRM.

Retail request pipeline

Inquiry → quote → invoice or Kaspi payment → picking → delivery or pickup. Each stage has a task for the manager and a response-time check.

Trade client pipeline

New account → contract and price column → first order → regular orders. Separately — reactivation of those who stopped buying.

All channels in one window

WhatsApp, Instagram Direct, calls, website forms, Kaspi Магазин orders — in one feed tagged by source.

Quote and invoice from the CRM

The manager builds the item list with price and stock from 1C, sends the quote to WhatsApp, and the invoice is issued in 1C without re-typing.

Credit terms and receivables

Client limit and current debt from 1C on the card, a warning when exceeded, reminders about payment due dates.

Projects and construction stages

Client projects with address and stage of work; tasks for the manager to offer the next group of materials at the right time.

Delivery

Requests to the dispatcher with address, time slot and vehicle type, statuses to the client on WhatsApp, unloading confirmation.

Manager report

Inquiries, quotes, conversion to payment by manager and channel, average ticket, trade share, clients with no orders for 30–60 days.

1C integration

What lives in 1C and what lives in the CRM.

The most common mistake is trying to keep products and documents in the CRM or, the other way round, inquiries in 1C. We split it like this:

  • 1C keeps the product list, prices and price columns, stock, invoices, waybills, e-invoices, payments and debts.
  • The CRM holds inquiries, chats, quotes before payment, manager tasks, client projects, loss reasons.
  • Between them — an exchange: the CRM receives prices, stock and receivables, and the buyer and order go to 1C once the quote is confirmed.

This way the manager works in one window, accounting stays in familiar 1C, and nobody enters the same thing twice. If 1C has no ready exchange module, we build one — this affects timeline and price.

Common mistakes

Why a CRM fails to take root in stores.

  • The CRM was set up only for trade, while retail requests from WhatsApp stayed on salespeople's phones.
  • No exchange with 1C — the manager types every quote twice and soon stops using the CRM.
  • Cashiers and managers work by different rules: who owns a client who walks into the store after chatting online.
  • No mandatory loss reason — it is unclear whether you lose on price, stock or delivery time.
  • The owner does not look at the report on clients with no orders — regular buyers leave unnoticed.
Price and timeline

What drives the cost of implementation.

A basic amoCRM or Bitrix24 rollout for one store: retail and trade pipelines, WhatsApp, website, training — ₸350,000–₸600,000, 2–3 weeks. With 1C exchange, telephony, call tracking, logistics and analytics — ₸600,000–₸1,000,000, 4–6 weeks. A custom CRM for a chain with several warehouses and complex pricing rules — from ₸1,500,000.

CRM and WhatsApp Business API licenses are paid to the vendors separately. Base prices and the off-the-shelf vs custom choice are on the CRM and automation page.

Questions

The short version.

How much does a CRM for a building-materials store cost?

A basic rollout with retail and trade pipelines and WhatsApp — ₸350,000–₸600,000. With 1C exchange, telephony and analytics — ₸600,000–₸1,000,000. CRM licenses are separate.

amoCRM or Bitrix24?

amoCRM is simpler and stronger with chats — a good fit for a store where most of the flow comes from WhatsApp. Bitrix24 suits a chain with several warehouses, logistics and approvals better. We decide after an audit.

Can we see a client's debt from 1C in the CRM?

Yes, with 1C exchange the trade client card shows the credit limit, current debt and overdue payments, and the manager gets a warning before shipping.

Will Kaspi Магазин orders go into the CRM?

Yes, Kaspi Магазин orders can arrive in the CRM automatically, so the manager sees all retail in one place and controls picking and handover times.

When will we see results?

A single pipeline and response control work from the first week: fewer lost quotes. Trade client reactivation and construction-stage reminders take effect in 1–2 months, once history builds up.
