CRM for insurance companies: every policy renewed on time, every quote taken through to payment.
A policy expires after a year, and if the client is not reminded, they buy a new one from whoever they see first. The CRM takes contract expiry dates from the core system, messages clients on WhatsApp by itself, assigns tasks to managers and agents and shows how much of the base was renewed.
An insurer has a core system that holds contracts, premiums, reserves and payouts. But it answers the question «what is insured», not «whom to sell to and when». Sales live in managers' spreadsheets and agents' phones: who quoted CASCO and did not buy, whose MTPL expires in two weeks, whom to offer travel insurance before summer.
A CRM for an insurance company covers exactly sales and retention: leads from the website, WhatsApp, Instagram and the contact centre in one pipeline, unfinished calculator quotes as a separate stage, automatic renewal reminders and cross-sales across the base. Contract data comes from the core system, so nothing is entered twice.
For an agent network the CRM provides what is usually missing: a single company client base, renewal distribution among agents, sales plan versus actual and commission calculation. The client stays in the insurer's base even if the agent leaves.
What we set up in an insurer CRM.
30 days before expiry a «Renewal» deal is created, WhatsApp reminders go out at 30, 14 and 3 days, and a manager gets a task if the client does not reply.
The client got a quote on the site and did not pay — an hour later they receive a message with a payment link, the next day a manager calls.
Website, calculator, WhatsApp, Instagram, calls, leads from partners and car dealers — in one feed tagged by source and product.
Base segments: MTPL holders without CASCO, mortgage clients without property cover, travellers before the season — with ready message scenarios.
Agent workspaces, client assignment, renewal distribution, plan versus actual, commission calculation by insurance line.
A separate pipeline for OSNS, VHI and commercial property: request, underwriter quote, proposal, approval, contract, tender.
Registration of each enquiry, response deadlines, owner and history — a process you can show the regulator.
Renewal rate by product, channel and agent, revenue per client, reasons for not renewing.
Pipelines and automations.
- «New sales» pipeline: lead → quote → purchase → payment → policy
- «Renewals» pipeline: 30 days out → reminder → quote → payment
- «Corporate clients» pipeline: request → underwriting → proposal → contract
- «Cross-sales» pipeline by base segment
- Automation for abandoned calculator quotes
- Automatic WhatsApp renewal reminders
- Lead and renewal distribution by agent and branch
- Enquiry and complaint registration with deadlines
- Agent commission calculation
- End-to-end analytics by campaign and product
How to set up renewals that work without manual control.
- Base import — we take active contracts with expiry date, product, contact and agent from the core system, then sync daily or on event.
- Scenario — 30 days ahead a deal is created and the client receives a message with a quote for the new term and a payment link; repeats at 14 and 3 days.
- Escalation — if the client did not open the message or did not pay, the manager or assigned agent gets a call task.
- Closing — a paid policy from the core system closes the deal; if the client left, the manager records the reason.
The report shows the renewal rate for each product and agent — the key retention metric.
Why CRM fails to take root in insurance.
- The CRM is not connected to the core system — managers copy contracts by hand and give up within a month.
- Agents see no point in entering their clients: no workspace, no commission calculation, nothing in it for them.
- Renewal reminders go out as a mass mailing without a quote — the client goes to compare prices at competitors anyway.
- WhatsApp templates are not approved by Meta, and messaging is blocked on day one.
- Corporate sales run in the same pipeline as MTPL — analytics get mixed up and lose meaning.
What affects the implementation price.
Basic amoCRM or Bitrix24 implementation for an insurance agency or small insurer: sales and renewal pipelines, channels, WhatsApp reminders, training — ₸350,000–₸600,000, 2–3 weeks. With core system integration, agent workspaces, commission calculation and telephony — ₸600,000–₸1,000,000, 4–6 weeks. A custom CRM for the processes of a large insurer — from ₸1,500,000. CRM and WhatsApp API licences are paid to vendors separately.
Base prices and the «off-the-shelf or custom» comparison are on the CRM and automation page.
The short version.
How much does a CRM for an insurance company cost?
Basic implementation with renewals and WhatsApp costs ₸350,000–₸600,000. With the core system, agents and commissions — ₸600,000–₸1,000,000. A custom CRM — from ₸1,500,000; amoCRM or Bitrix24 licences are separate.
Which CRM to choose: amoCRM or Bitrix24?
For an agency or small insurer selling through WhatsApp and Instagram — amoCRM: simpler and faster to launch. For a company with branches, an agent network, corporate sales and approvals — Bitrix24 or a custom system. We decide after a process audit.
Can the CRM be connected to our core system?
Yes, via API or scheduled export: contracts, expiry dates and payouts flow into the CRM, and paid renewals close deals. The exchange format is agreed with your IT team.
Is it legal to remind clients about renewal on WhatsApp?
Yes, via the official WhatsApp Business API and with the client's consent to notifications, collected when the policy is purchased. Message templates go through Meta moderation — we prepare them together.
When will we see the effect?
Abandoned quotes and renewals start working in the first month after launch because they use the existing base. The effect of cross-sales shows in 2–3 months.
