CRM for medical clinics: all enquiries in one funnel, no-shows cut in half.
A receptionist answers WhatsApp, Instagram and phone calls simultaneously — some patients are lost before they even book. CRM collects all enquiries into one funnel, automatically reminds patients about their appointment and invites them back for a repeat visit. Management sees how many enquiries became visits and where they came from.
A medical clinic runs two parallel records. Medical — patient files, schedules, prescriptions and results in the HIS. Commercial — who enquired, who was called back, who booked, who attended, who returned for a repeat visit. The second record usually lives in a receptionist's head or scattered chats, so no one knows the real conversion from enquiry to visit or the cost of patient acquisition.
CRM for medical clinics closes the commercial record: all channels in one funnel, stages from first contact to repeat visit, automatic WhatsApp messages and tasks for receptionists. HIS sync eliminates duplicate entry and parallel calendars.
The fastest result is appointment reminders. A booking confirmation immediately after scheduling, a reminder 24 hours before and another 2 hours before with a reschedule button cuts no-shows by 1.5–2× in the very first month.
What we configure in a clinic CRM.
Enquiry → consultation → diagnostics → treatment → repeat visit. At each stage — receptionist tasks and WhatsApp message templates.
Instagram Direct, WhatsApp, calls, website forms and ad leads — in one feed with source and campaign tags.
Booking confirmation immediately, reminder 24 hours before and 2 hours before, reschedule button, post-visit message with doctor recommendations.
Automatic invitations for follow-up appointments by doctor prescription, routine lab tests, annual check-ups and reactivation of 'not seen in a year' patients.
A booking from CRM goes into the doctor's schedule; a visit in the HIS closes the deal stage. One calendar, no duplicate entry.
After a visit — an automatic request to rate the appointment; satisfied patients are directed to 2GIS and Google, dissatisfied ones go to management before publishing.
Virtual numbers per ad channel, call recording, enquiry-to-visit conversion by source, revenue by ad campaign.
Enquiries, bookings, visits, average ticket, repeat patients, doctor utilisation by specialty — a daily dashboard with no manual data collection.
Funnels and automations.
- Funnel 'New patients': enquiry → booking → visit → repeat visit
- Funnel 'Returning patients': routine lab tests, check-ups, doctor prescriptions
- Funnel 'Reactivation': not seen in 12 months
- Appointment reminder automation
- NPS and post-visit review collection automation
- Task to receptionist when 'no reply in 15 minutes'
- Lead routing by specialty and branch
- End-to-end analytics by ad channel
How implementation works at a clinic.
- Audit — 2–3 days: we study the current booking process, count losses at each stage, map out the funnels and prepare an estimate.
- Setup — 1–2 weeks: funnels, fields, WhatsApp templates, channel and telephony connections.
- HIS and website — 1–2 weeks: schedule sync, booking forms from the site, leads from ads.
- Training — receptionists and management, instructions and videos, first week with our support.
- Follow-up — one month of adjustments based on real usage, then support on request.
Why CRM doesn't stick in clinics.
- Set up 'out of the box' without specialty-specific funnels — receptionists went back to the paper journal within a week.
- No required fields (source, specialty, doctor) — analytics are empty, management has no visibility.
- Reminders set up manually — meaning nobody sends them.
- CRM and HIS are not connected — duplicate entry means the receptionist picks one system and ignores the other.
- Management doesn't look at the dashboard — the team stops filling in data. We build a dashboard that gets opened every morning.
What affects the implementation cost.
Basic amoCRM or Bitrix24 implementation for one clinic: funnels, channels, WhatsApp reminders, team training — ₸350,000–₸600,000, 2–3 weeks. With HIS sync, telephony, call tracking and end-to-end analytics — ₸600,000–₸1,000,000, 4–5 weeks. Multi-branch networks — quoted by number of locations and roles. CRM and WhatsApp Business API licences are paid to vendors separately.

The short version.
How much does CRM for a medical clinic cost?
Basic implementation with funnels, channels and WhatsApp reminders — ₸350,000–₸600,000. With HIS, telephony and analytics — ₸600,000–₸1,000,000. amoCRM or Bitrix24 licences are separate.
Which CRM should a clinic choose?
For a single clinic receiving bookings via Instagram and WhatsApp — amoCRM: simpler, faster to set up, strong chat integrations. For a network with tasks, approvals and document flow — Bitrix24. We recommend after auditing your processes.
Can CRM be connected to our HIS?
Yes, if the HIS has an API (Damumed, Medesk, Klinika Online and others). A booking from CRM goes into the schedule; a visit in the HIS closes the deal. Without an API we set up a single-window workflow for the receptionist.
Is it legal to send appointment reminders to patients via WhatsApp?
Yes, via the official WhatsApp Business API with the patient's consent to receive notifications — we include this in the booking form and service agreement. Message templates are reviewed by Meta; we help prepare and get them approved.
How soon will we see results?
Reminders and a unified funnel show results from the first week: fewer no-shows, no lost leads. Repeat visits and reactivation build up over 2–3 months once the system has enough data.
