CRM for wholesale distributors: customers, reps, orders and receivables in one system with 1C.

A wholesaler loses money not on new customers but on existing ones: an outlet quietly stops ordering, a claim hangs for a week, a shipment goes to a customer with an overdue balance. A CRM shows this in time and turns the work of managers and sales reps into a process with tasks and deadlines.

In wholesale, sales are not one-off deals but a cycle: win an outlet, agree on terms, get the first order, keep it regular, expand the range, resolve claims and watch payments. Without a CRM this cycle depends on a manager's memory, and when the manager leaves, customers leave too.

A CRM for a wholesale company is built around the customer card: BIN, contract, price type, limit, responsible manager and sales rep, order history from 1C, balance, tasks and WhatsApp correspondence. Pipelines are separate for winning new outlets, for repeat orders and for claims. Automations flag an outlet that has gone quiet longer than usual and warn about balances before shipment.

The CRM does not replace or duplicate 1C: goods, shipments and money stay in 1C, while the CRM receives data from it and sends orders. For large distributors with special logic we build a custom CRM on Next.js and PostgreSQL.

What it needs

What we set up in a wholesaler's CRM.

B2B customer card

BIN, contract, price type, credit limit, delivery addresses, contacts, responsible manager and rep, order history from 1C.

Winning new outlets

Pipeline: inquiry or cold contact → negotiation → terms and contract → first order → regular customer, with tasks at each stage.

Order regularity control

The system knows a customer's usual ordering cycle and creates a task if the outlet goes quiet longer; a list of «at-risk» customers every Monday.

Receivables and limits

Balance and overdue amounts from 1C in the card, a warning for orders above the limit, collection tasks by due date.

Sales reps

Territories, visit plan, visit report, orders from outlets, plan fulfilment by rep and brand.

Claims and returns

A separate pipeline for defects, short deliveries and returns with response deadlines and owners.

WhatsApp and mailings

Customer correspondence in the card, segmented mailings about new arrivals and promotions via the WhatsApp Business API.

Management reports

Revenue and margin by customer, territory and brand, new and lost outlets, average order, receivables by manager.

Pipelines & automations

Pipelines and automations.

  • «New customers» pipeline: contact → terms → contract → first order
  • «Orders» pipeline: order → reservation → shipment → payment
  • «Claims and returns» pipeline
  • «Reactivation» pipeline: customers with no order longer than their cycle
  • Automatic deal from the B2B portal and website
  • Balance and limit warning before shipment
  • Route tasks for sales reps
  • Segmented mailings about new arrivals
  • 1C exchange: counterparties, orders, payments, balances

1C integration

Who is responsible for what: CRM and 1C.

The most common mistake is trying to keep in the CRM what is already in 1C, or the other way round. We fix the boundary at the start: 1C is the master system for products, prices, stock, documents, e-invoices, payments and balances; the CRM handles customers, contacts, tasks, correspondence, visits, pipelines and claims.

Then we set up the exchange: counterparties are created in one place and appear in the other; an order from the CRM or portal becomes a «Customer order» in 1C; shipments, payments and balances flow back to the CRM card. We work together with your 1C developer or contractor — on the 1C side a small change to the exchange routine is usually needed.

Typical mistakes

Why CRM does not take root at wholesalers.

  • The CRM was set up as for retail — a deal per order, thousands of deals after a month and no picture of the customer.
  • No link to 1C — managers enter orders twice and abandon the CRM.
  • Sales reps do not use the CRM from their phones — visits and orders stay in WhatsApp.
  • No regularity control — a lost customer is noticed a quarter later.
  • Management looks at reports in 1C, not the CRM — the team understands the CRM is optional.
Price and timeline

What affects the price of implementation.

Basic amoCRM or Bitrix24 implementation: pipelines, B2B customer card, WhatsApp, telephony, training — ₸350,000–600,000, 2–3 weeks. With 1C exchange, receivables, regularity control and sales rep workflows — ₸600,000–1,000,000, 4–6 weeks. A custom CRM for complex distribution — from ₸1,500,000. CRM and WhatsApp API licences are paid to the vendors separately.

Base prices and «off-the-shelf or custom CRM» options are on the CRM and automation page.

Questions

The short version.

How much does a CRM for a wholesale company cost?

Basic implementation is ₸350,000–600,000, with 1C exchange and receivables ₸600,000–1,000,000, a custom CRM from ₸1,500,000. amoCRM or Bitrix24 licences are separate, at the vendor's per-user rate.

amoCRM or Bitrix24 for wholesale?

For a small team focused on messaging and repeat orders — amoCRM. For a company with sales reps, tasks, warehouses and documents, Bitrix24 is usually a better fit. We decide after a process audit.

Will there be double entry with 1C?

No, if the system boundary is fixed: customers and orders are created once and synchronised, while goods, prices and balances live only in 1C and are pulled into the CRM.

Can sales reps use the CRM from a phone?

Yes, through the amoCRM or Bitrix24 mobile app: route, outlet card, visit report and order. If you need offline mode and shelf photos, we build a dedicated app.

When will we see the effect?

A single customer base and balance control work from the first weeks. The effect of regularity control and reactivation shows in 2–3 months, once the system accumulates order history.
